Voicemail Directions for Faculty/Staff

VOICEMAIL DIRECTIONS FOR FACULTY AND STAFF

There are two options you can use to set up for your voicemail:

1. Switchvox Voicemail Unavailable Message: This is your standard custom greeting that will play once a caller reaches your voicemail box. An example would be, "Hi, you've reached Mike Woodford, I’m unable to take your call at the moment, please leave a message and I’ll get back to you as soon as possible. Thank you."

2. Recorded Directory Name: This is what callers hear when a call is transferred to your extension. An example of this would be, "Transferring your call to 'Mike Woodford.' You simply record yourself saying your name, and the system will insert it.

** You can optionally leave the recorded directory name as your default voicemail unavailable message. When a caller reaches your voicemail they will hear: "'Mike Woodford' is unavailable, please leave a message after the tone." Personally, I setup option 2 (a recorded directory name) as my only “outgoing voicemail announcement.”

(This is what a caller hears when they dial your extension and reach your voicemail box.)

1. Press the Messages key or dial 899

2. Enter your Password (If you need this reset please let the IT department know) 123456 then #

3. Press 0 (Zero) for “Mailbox Options”

4. Press 1 (One) to record your “Unavailable Message”

5. Record Your Message After the Tone Press # (Pound Key)

6. Follow Instructions – 1= Save, 2 = Listen, 3 = Re-Record

Setting up your Recorded Directory Name:

(This is what a caller hears when they find your extension in the dial by name directory.)

1. Press the Messages key or dial 899

2. Enter your Password (Provided by Admin) 123456 then #

3. Press 0 (Zero) for “Mailbox Options”

4. Press 3 (Three) to record your “Name”

5. Record Your Message After the Tone Press # (Pound Key)

6. Follow Instructions – 1= Save, 2 = Listen, 3 = Re-Record

IMPORTANT NOTE: 

On all phones, voicemail is accessed by dialing 899 or by pressing the voicemail button. If you wish to access voicemail when you’re not in town, dial the main number (781-934-7600), followed by your extension. When you hear your voicemail greeting, press * to enter your password followed by the # (pound key), just in step #2 above.
